Job Description

QuIC is looking for an experienced Executive Assistant to join its internal staff on a full-time basis. The successful candidate will support and advise the Executive Director, coordinate administrative functions of QuIC, and serve as liaison for the Executive Office. These tasks will contribute to QuIC’s role in the frame of the European project QUCATS, responsible for the coordination and ongoing activities of the European Quantum Flagship. The Exeecutive Assistant will report directly to the Executive Director of QuIC.

Key Responsibilities

    • Liaison officer for Executive Director, notably in connection with QuIC work and expert groups.
      • Serve as primary contact between Executive Director and QuIC-internal groups and teams.
      • Report to and advise Executive Director on QuIC-internal activities and progress.
    • Operational administration:
      • Maintain all internal databases and relevant internal documentation up to date
      • Liaise with external administrative functions and members on behalf of Executive Director
    • Executive Support:
      • Manage scheduling for Executive Director. Coordinate travel arrangements.
      • Meetings: prepare and gather documents, capture summary and follow-up actions
      • Work directly with Executive Director to support all aspects of his day-to-day tasks.

Your Profile

  • Prior work experience: 5 or more years’ prior experience in supporting a senior executive or team.
  • Outsanding organisational and time-management skills.
    • Successfully manage multiple parallel responsabilities.
    • Able to meet deadlines and deliver quality results in a fast-paced environment.
  • Start-up mindset: enjoys tackling business needs in adjacent disciplines, able to find innovative solutions to a variety of challenges.
  • Strong interpersonal skills and enjoy working in an international environment. Preference for candidates with past international experience.
  • Academic background: university degree.
  • Strong computer skills. Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
  • Fluent reading, writing, and speaking skills in English. Business proficiency in another European language is a plus.

  • Citizen or legal resident with work permit of a Member State of the European Union, Liechtenstein, Norway, Switzerland, or the United Kingdom.

Position Details

Work will be conducted mostly remotely, from a home / mobile office, using digital tools to connect with QuIC members and external collaborators. The selected candidate will also be expected to travel approximately once monthly to attend organised events and other QuIC meetings.

Start Date: 1 April 2024 or earlier

Contract duration: 24-month fixed term contract.
